My client, a growing Irish greeting card and gift company, is seeking an organised and detail-oriented Buying Assistant to join its team in Wicklow. This is an excellent opportunity for a junior candidate who is interested in buying, procurement, production or design-led retail products.

Responsibilities of this Buying Assistant role include:

  • Enter and maintain accurate production information across internal spreadsheets and systems, including product specifications, costs and supplier details.
  • Maintain organised digital files and shared documents, ensuring information is accessible and fully traceable.
  • Assist with preparing and issuing purchase orders.
  • Maintain current supplier price lists, product quotations and cost information.
  • Record and track production lead times, delivery schedules and sample approvals.
  • Monitor stock levels and identify repeat-order requirements in line with seasonal plans.
  • Support the buying team with product performance analysis, cost comparisons and margin calculations.
  • Track the progress of orders and promptly highlight delays or production issues.
  • Prepare reports for supplier reviews, production planning meetings and customer updates.
  • Ensure product and packaging information is accurately recorded before production and shipping.
  • Create and issue customer barcodes, ensuring new products are added to relevant customer portals, including SAP, Ariba and PIMS.
  • Schedule meetings and maintain accurate notes and follow-up actions.
  • Provide general administrative support to the Buying and Design teams as required.

Requirements for this Buying Assistant role include:

  • Strong Microsoft Excel skills and confidence working with spreadsheets and data.
  • Excellent attention to detail and a high level of accuracy when entering information.
  • Strong organisational and time-management skills.
  • Professional written and verbal communication skills.
  • The ability to manage several priorities in a deadline-driven environment.
  • A proactive attitude and willingness to learn new systems and processes.
  • Previous experience in administration, data entry, procurement, supply chain or production support is desirable.
  • Experience using barcode systems or inventory management software would be an advantage.
  • An interest in merchandising, stock planning, manufacturing or retail supply chains is desirable.
  • Previous experience within a retail, product or creative business would be beneficial.
  • An interest in greeting cards, paper goods or design-led products would be a distinct advantage.

Responsibilities of this Buying Assistant job include:

  • Support the buying team with a variety of tasks.
  • Manage supplier critical paths.
  • Liaise with suppliers regarding orders, samples, shipments and any queries.
  • Daily/weekly reports and sales analysis.
  • Placing and managing purchase orders.
  • Listing new products.
  • Assisting in managing supplier pricing.

Responsibilities of this Buying Administrator job include:

  • Supporting buying team by dealing with marketing requests, supplier orders and set up
  • Ownership and management of incoming mails
  • Provide general day to day administrative support to the purchasing team in areas such as premium buying, general shop, OTC and electrical (dependent on line manager)
  • Communicate with relevant stakeholders to ensure that buying processes are implemented effectively and on time
