Recruitment Consultant – Holiday Cover
Overview
As Excel Recruitment Group continues to grow its Healthcare Division, we are seeking a highly organised, adaptable and commercially focused Recruitment Consultant – Holiday Cover to provide essential support across multiple healthcare recruitment desks.
This is a business-critical role responsible for maintaining continuity of service during planned annual leave, unplanned absences, and periods of increased operational demand. The successful candidate will act as a trusted extension of the consultant team, ensuring clients and candidates continue to receive a responsive, compliant, and high-quality service when their primary consultant is unavailable.
The role plays a vital part in protecting existing business relationships, safeguarding revenue generation, ensuring payroll accuracy, supporting service delivery commitments, and maintaining compliance standards across the Healthcare Division.
Given the nature of healthcare recruitment, flexibility is required, including weekday, evening and weekend working, aligned to the operational requirements of the Healthcare Division.
Key Responsibilities
Business Continuity & Desk Management
• Provide recruitment desk cover during annual leave, sickness absence and other periods of consultant unavailability.
• Seamlessly manage active client accounts, candidate pipelines, bookings, and placements across multiple healthcare desks.
• Ensure continuity of communication with clients and candidates, maintaining service levels, and protecting relationships.
• Support revenue generation by ensuring vacancies, shifts, and placement opportunities continue to be managed effectively during consultant absence.
• Maintain accurate records, notes, and handover documentation to facilitate smooth transitions before and after periods of cover.
• Ensure all activities are managed in accordance with the Healthcare Division Annual Leave Cover Process.
Client Management
• Act as the primary point of contact for clients while their assigned consultant is unavailable.
• Build trust and confidence with clients by providing responsive and professional support.
• Manage client staffing requirements and ensure delivery against agreed service expectations.
• Escalate service concerns or risks appropriately to Divisional Management.
• Identify opportunities to strengthen client relationships and support business growth.
Candidate Management
• Maintain ongoing engagement with healthcare professionals across temporary and permanent recruitment desks.
• Manage bookings, placements, candidate queries, and availability of scheduling.
• Deliver a positive candidate experience and protect existing candidate relationships.
Compliance & Quality Assurance
• Ensure all placements and bookings meet healthcare compliance standards and client-specific requirements.
• Work closely with the Compliance Team to resolve documentation or eligibility issues.
• Monitor compliance expiry dates and identify potential risks to service delivery.
• Maintain accurate CRM and recruitment system records.
• Support quality assurance processes and contribute to continuous service improvement.
• Comply with all company policies and procedures, safeguarding the business, its clients, candidates and reputation at all times.
Payroll & Systems Management
• Ensure that all placements, shifts, bookings, cancellations, and availability updates are accurately recorded within the recruitment system.
• Maintain real-time updates to CRM and workforce management systems to support business continuity.
• Process timesheets and payroll-related information accurately and within established deadlines.
• Liaise with payroll and finance teams to investigate and resolve timesheets, pay, charge rates and invoicing queries.
• Monitor booking amendments and ensure all system changes are updated accurately to maintain payroll and billing integrity.
• Ensure accurate transfer of information between consultants, payroll, compliance and operations teams during periods of desk cover.
• Identify and escalate payroll risks, discrepancies or potential service delivery issues before payroll deadlines.
Operational Support
• Work collaboratively with consultants, resourcers, compliance, payroll, operations and management teams.
• Provide clear, comprehensive handovers to consultants before and after periods of leave.
• Assist with workforce planning to ensure adequate staffing coverage across key client accounts.
• Support divisional projects, process improvements and service initiatives where required.
• Contribute to maintaining high service standards across the Healthcare Division.
Requirements
• Previous recruitment experience, preferably within healthcare recruitment.
• Strong knowledge of temporary staffing and client account management.
• Excellent organisational and prioritisation skills, with the ability to manage multiple desks simultaneously.
• Strong interpersonal and communication skills.
• Ability to build rapport quickly with clients and candidates.
• Commercially aware, with an understanding of revenue generation and service delivery requirements.
• High level of attention to detail, particularly regarding compliance, payroll and documentation.
• Flexible approach to working hours, including evening and weekend work as required.
• Ability to work independently and make informed decisions in a fast-paced environment.
• Proficient in CRM systems, Microsoft Office, and recruitment technologies.
Key Success Measures
• Adherence to the Healthcare Division Annual Leave Cover Process, ensuring effective handover management and continuity of client, candidate, payroll, compliance and operational activities.
• Continuity of service maintained during consultant absence.
• Effective completion of all pre-leave, during-leave and post-leave handovers.
• Client satisfaction levels maintained or improved during periods of cover.
• Revenue, placements and shift fulfilment protected during annual leave and absence cover.
• Timely fulfilment of client staffing requirements.
• Payroll submissions completed accurately and within agreed deadlines.
• Accurate maintenance of CRM, booking, payroll and compliance systems.
• Compliance standards maintained across all placements and bookings.
• Minimal payroll, billing, compliance, or service delivery errors.
• Positive feedback from clients, candidates, consultants, payroll, compliance, and management teams.
• Effective communication and collaboration across all stakeholders to ensure seamless service delivery.
