Assistant Office Manager

Excel Recruitment is seeking an Assistant Office Manager for our client, based in Dublin 15 and who specialises in the construction and facilities services industry. This is an exciting opportunity for a highly organised and proactive administrator to join a busy team. The successful candidate will support the day-to-day operations of the business, assisting with planning, scheduling, client communications, fleet administration, invoicing, HR administration, and general office support. This role would suit someone with excellent organisational skills, a strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Support the daily planning and scheduling of jobs and resource allocation.
  • Communicate with clients, work crews, and foremen via phone and email.
  • Record new work requests and maintain planning schedules.
  • Assist with job completion records and invoicing administration.
  • Prepare and issue quotations for clients.
  • Coordinate fleet administration, including vehicle tax, inspections, servicing, and repairs.
  • Support month-end billing activities.
  • Provide general office administration, including answering phones and managing emails.
  • Maintain accurate records, databases, filing systems, and documentation.
  • Manage timesheets and assist with HR administration, including absence and holiday tracking.
  • Maintain employee records and personnel files.
  • Order stock and monitor inventory levels.
  • Update internal systems and portals as required.
  • Assist with grant application and compliance paperwork.
  • Provide additional administrative support as required.

Requirements

  • Friendly, flexible, and professional approach to work.
  • Strong communication and interpersonal skills.
  • Good working knowledge of Microsoft Office, particularly Excel.
  • Experience with Sage is advantageous.
  • Comfortable using technology and learning new systems.
  • Strong organisational and problem-solving abilities.
  • Ability to prioritise tasks and work independently.
  • Positive, proactive, and team-oriented attitude.
  • High level of accuracy and attention to detail.
