Project Coordinator – Systems, Process & Change

Excel Recruitment is looking for a confident and people-focused Project Coordinator to help shape how we work, improve our systems and deliver meaningful business change. Working closely with the Director of Operations, you will take ownership of varied projects from planning through to implementation, keeping stakeholders engaged, actions on track and improvements embedded across the business.

You will partner with teams across the organisation, senior stakeholders and external software providers to improve processes, introduce smarter systems and support employees through change. Responsibilities
- Coordinate operational, systems and process improvement projects from planning to completion.
- Maintain project plans, timelines, action trackers, milestones, risks and dependencies.
- Follow up with stakeholders, identify delays or barriers and provide regular progress updates.
- Gather and document business requirements and map processes to identify inefficiencies and gaps.
- Coordinate system developments, testing, User Acceptance Testing, implementation and post-go-live reviews.
- Support workflow automation, CRM optimisation, portals, online timesheets, reporting and other technology initiatives.
- Communicate upcoming changes clearly and support employees and managers throughout implementation.
- Develop and deliver practical training, user guides, SOPs, FAQs and process documentation.
- Monitor user adoption, gather feedback and recommend further training or process improvements.
- Produce clear project and operational reporting on progress, issues, adoption and benefits delivered.
Requirements
- Minimum 2-3 years’ experience in project coordination, project management, business change, systems implementation, operations improvement or a similar role ideally in the Recruitment Industry.
- Demonstrable experience coordinating projects from initial planning through to implementation and completion. Candidates should be able to provide clear examples of projects they have personally coordinated or taken ownership of from start to finish.
- Experience developing SOPs, process documentation, user guides, training materials or similar operational documentation.
- Experience delivering employee training or supporting organisational change and user adoption.
- Excellent organisation, planning, prioritisation and follow-through skills.
- Strong interpersonal, stakeholder management, presentation and written communication skills.
- Confidence working with employees at all levels and explaining systems and change in clear, non-technical language.
- Ability to manage multiple projects and competing priorities in a fast-paced environment.
- Strong Microsoft Office skills, particularly Excel, Word and PowerPoint.
- A practical, analytical and solutions-focused approach with excellent attention to detail.
Desirable experience
- Experience in recruitment or another fast-paced professional services environment.
- Exposure to CRM, ATS, HR, payroll, finance or workflow systems.
- Knowledge of User Acceptance Testing, process mapping, automation, AI tools or business process optimisation.
